Introduction to Tags

Tags made their debut in marketing automation during the early 2000s, offering a novel method for organizing and categorizing contacts. They were initially conceived to empower a more profound level of segmentation, surpassing the capabilities of traditional email marketing services.

Over time, tags have continued to evolve, expanding their functionality far beyond their initial purpose, as illustrated in the table below.

Tags provide a quick and convenient way to access crucial contact information. In our migration guide, we liken tags to the condensed summary of your contacts' interaction history with your business. Notably, the tags you assign to your contacts remain internal and are invisible to the contacts themselves. You can leverage tags to group and focus on contacts with shared attributes.

Tags serve a dual purpose, aiding in organization and often prompting specific actions. In the CRM, tags fulfill three primary functions:

  1. Organization

    The core intention behind tags, which is to facilitate organizational tasks, remains intact within our platform. You have the ability to sort your contact database using tags, and tags are readily visible on individual contact profiles. This functionality offers a quick overview of your contacts' experiences, which can often be sufficient for addressing your inquiries.

     

     

    Through the use of tags, you can bypass the need to sift through the "Recent Activities" feeds of contacts in search of vital information. Instead, essential data is readily accessible with just two clicks.

     

  2. Start Triggers

    Adding or removing tags can serve as the criteria for initiating triggers. The configuration of your start triggers dictates which individuals enter your automation and the frequency of their entry.

     

     

  3. Conditional Content

    Tags represent one among several conditions for segmenting your contacts. This flexibility allows you to focus on contacts with specific tags, whether they possess or lack them.

     

    You have the option to target contacts through automation, which is designed to engage a segmented audience based on the chosen start trigger. Additionally, you can make use of tags to deliver contextually relevant messages within your one-off campaigns. This is achieved by creating conditional content, as demonstrated in the image below, enabling you to hide or display content blocks in emails according to the tags associated with your contacts.

     

     

    Finally, tags can be employed to present conditional content within third-party integrations. This means you can utilize membership plugins like ActiveMember360 and Memberium to control the visibility of content on a WordPress website, depending on whether contacts possess or lack certain tags. A common application of this feature is setting up exclusive, members-only content.

    Accessing the Tag Manager

    To begin managing your tags, navigate to the Tag Manager by following these steps:

    1. Click Contacts > Tags in the left-hand menu.
    2. This will bring up the Manage Tags page, where you can see all the tags in your account. Each tag entry includes:
      • Tag Description: A brief description, if you’ve added one.
      • Contact Count: The number of contacts associated with that tag.
      • Automation Usage: Whether the tag is used in any automation.

    Bulk Adding Tags to the Tag Manager

    Adding multiple tags at once is simple and efficient:

    1. Click the “Add tag” button at the top right of the page.
    2. In the "Add tags" modal that appears, type or paste the tags you want to add into the "Add Tag" box. Ensure that each tag is on its line.

    Finding and Modifying Automations Using a Tag

    The Tag Manager also allows you to locate automations that utilize a particular tag quickly. Any changes made to a tag will automatically be reflected across all contacts and automations using that tag. However, keep in mind that these changes won’t affect link actions or conditional content that uses the tag, so those will need to be updated manually.

    To find automations associated with a tag:

    1. On the Manage Tags page, click "Yes" under the "Automations" column for the tag you’re interested in. If you see a "No," it means no automations are currently using that tag.
    2. A new browser tab will open, directing you to the Automations Overview, where you can view all automations filtered by that tag.

    Editing a Tag or Adding a Description

    If you need to update a tag’s name or add a description, this can be done quickly through the Tag Manager. The changes will be reflected across all associated contacts, as well as in the floating segment builder and automations.

    To edit a tag:

    1. In the Tag Manager, locate the tag you want to modify and click "Edit."
    2. A modal window will appear. Make the necessary changes in the fields provided.

    Deleting Tags from Your Account

    Deleting a tag is straightforward, but it’s important to note that this action can affect your automations and segments. When you delete a tag, you have the option to either remove the tag from all associated contacts or move those contacts to a different tag before deletion. The selected tags will be removed from any automation or segment references, which could potentially disrupt their functionality. However, tags will remain active in link actions and conditional content until manually updated.

    To delete a tag:

    1. In the Tag Manager, select the tag(s) you want to delete by clicking the checkbox next to each.
    2. Click "Delete" at the top of the list, or use the dropdown next to the “Edit” button and select “Delete.” Image 8-25-24 at 1.18 PM Image 8-25-24 at 1.18 PM-1
    3. A modal window will appear, offering you the choice to either remove the tag from all contacts or move the contacts to a new tag. Select the desired option. Image 8-25-24 at 1.20 PM
    4. Agree to the disclaimers by checking the appropriate boxes, then click "Delete Tag."

    Merging Tags

    If you have multiple tags that serve a similar purpose, merging them can help streamline your tag management. The tags selected for merging will be removed from contacts and the Tag Manager, with the remaining tag applied across all relevant contacts. Be aware that you’ll need to manually update any link actions or conditional content that referenced the old tags.

    To merge tags:

    1. In the Tag Manager, select the tags you want to merge and click the "Merge" button. Image 8-25-24 at 1.22 PM
