How to Schedule a Call With Your Specialist (and What to Expect)
Your monthly report explains what happened. A strategy call is where you and your specialist decide what happens next.
Which plans include strategy calls
Every WolfPack service follows the same pattern, whether it is SEO, Advertising, Social Media, CRM, or Email Marketing:
| Plan | Recurring strategy call | Support |
|---|---|---|
| Basic | Not included | Email support and your monthly report |
| Advanced | Quarterly, 60 minutes | Email support, monthly report, and a quarterly call |
| Pro | Monthly, 60 minutes | Email support, monthly report, and a monthly call |
If you have more than one service with us, we usually combine your specialists into a single call so you get one conversation covering everything, rather than separate calls per service.
Basic plans are designed around email support and short recorded video walkthroughs from your specialist rather than scheduled calls. Ongoing strategy calls are included in Advanced and Pro plans, and are otherwise available at an hourly rate or by upgrading your plan.
How to book a call
- Reply to any email from your specialist team, or send a message through your Customer Portal, saying you would like to schedule your strategy call.
- Your specialist sends a booking link along with a few suggested times. Pick whichever works, or propose your own.
- You receive a calendar invite with a video-meeting link. Calls are recorded so you can revisit them and so your notes are accurate.
For recurring calls, your specialist will reach out when your quarterly or monthly call is due. You do not have to track the cadence yourself.
Heads up: if something urgent comes up between calls, such as a Google Business Profile suspension, a hacked social account, or a website outage, do not wait for your next scheduled call. Email your specialist team right away.
What a strategy call covers
Calls run about 60 minutes and follow a consistent shape:
- Your business first. What has changed since last time: new services, hours, locations, staff, seasonality, anything that affects the strategy.
- Results, with our screen shared. Your specialist walks through the numbers behind your recent reports and answers questions live.
- Recommendations. What to do next quarter or next month, and why. This is where trade-offs get discussed: which keywords to chase, which ad channels to add, which automations to build.
- Action items. Who is doing what before the next call, on both sides.
You receive a written recap the same day, so nothing depends on memory.
What each service tends to focus on
- SEO: authority and traffic trends, keyword rankings, site health, content plan, Google Business Profile performance, and what your leads were worth.
- Advertising: spend and lead cost by channel, invalid-lead handling, landing page performance, and budget for the coming period.
- Social Media: engagement and follower trends, what content performed, the upcoming content calendar, and what photos or video we need from you.
- CRM and Email Marketing: automation performance, list health, campaign results, and new automations worth adding.
How to get the most out of your call
- Send questions ahead. A day or two before the call, reply to the invite with anything you want covered. Your specialist prepares an agenda around it.
- Bring business news. Price changes, a new service area, a new hire, a slow month. Strategy depends on this and we cannot see it from the data.
- Have the decision-maker on the call. Recommendations often need a yes or no on budget or scope. The call is far more productive if that person is in the room.
- Bring the asks from your report. If your last report asked for photos, a review reply, or approval on a page, close those out before or during the call.
- Between calls, flag changes as they happen. Do not save up three months of updates. A quick email when something changes lets us adjust immediately.
Frequently asked questions
Can I reschedule? Yes. Use the link in your calendar invite or reply to the invite email. Please give at least a day's notice when you can.
Can more than one person from my team join? Absolutely. Forward the invite to anyone who should be there.
I missed my quarterly call. Can I still have it? Yes. Reach out and your specialist will find a new time. Calls do not expire, though we do try to keep them roughly on cadence so the strategy stays current.
Do I get a recording? Yes. Calls are recorded and you receive a written recap the same day. Ask your specialist if you would like the recording link.
When you want more than a standard call
Your included calls cover your current services: results, what we are doing next, and what we need from you. Some clients want to go further. Common examples: strategic coaching on how to use AI in your day-to-day operations, hands-on help improving your close rate on the leads we send, or deeper, more customized reporting than your plan includes. Those conversations fall outside a standard specialist call. If that sounds like you, ask your specialist to set up a conversation about a custom advising plan with our leadership team. There is no obligation, and it is the fastest way to find out whether it is a fit.
Want a deeper strategy conversation? Reply to any email from your specialist team with "custom advising" and we will set up a time.
