Learn how to configure user group permissions in ActiveCampaign to manage access and editing rights for automation effectively.
Any user in the Admin group has the ability to view and edit automations created by other user groups. Additionally, Account Admins can grant specific user groups access to automation. This feature is particularly useful when only certain groups require access to this capability.
How to Manage Automation Permissions from the Settings > Users and Groups Page
By granting this level of permission, a user group will be able to:
-
Create automation for their user group.
-
View and edit automation created by users in their group.
Important Note: Users in one group cannot view or edit automation created by users in a different group. For instance, if you have a Marketing group and a Sales group, the Marketing group won’t be able to access or modify automations created by the Sales group.
If you need to give a user group access to a specific automation created by another group, refer to the section below on granting access to individual automation.
To manage permissions for a user group, follow these steps:
-
Go to the Settings Menu: Locate the "Settings" option in the left-side navigation menu.
-
Access Users and Groups: Click the "Users and Groups" option in the sub-navigation menu.
-
Navigate to the Groups Tab: Click the "Groups" tab to view all available groups.
-
Edit a Group: Click the "Edit" button next to the group that needs access to the Automations overview page.
-
Open Permissions Tab: In the "Edit Group" modal, click the "Permissions" tab.
-
Locate Automation Permissions: Expand the "Automation" permission section by clicking the down caret.
-
Enable Permissions: Check the "Check All" box to grant full access to automation.
-
Save Changes: Click the "Save" button to apply the changes.
How to Grant Automation Permissions from the Automations Overview Page
You can also grant a user group access to the Automations overview page directly from within the page itself. To use this method, the user group must already exist in your account.
Follow these steps:
-
Open the Automations Overview Page: Locate any automation in the overview page.
-
Access Permissions: Click the down caret next to the automation and select the "Permissions" option from the dropdown.
-
Scroll to Automation Access: In the Permissions dropdown, scroll to the "Automation Access Denied" section.
-
Allow Access: Click the "Allow" link for the group that should have access. Once enabled, the user group will be able to view and access the Automations overview page.
How to Grant Access to Individual Automation Created by Other User Groups
An Account Admin can also grant a user group access to specific automations created by another group. This allows members of one group to view and edit automation created by a different group.
For example, an Admin can grant the Sales group access to an automation created by the Marketing group. Once granted, users in the Sales group can view and edit the specified automation. There is no limit to the number of automations that can be shared this way.
Here’s how to do it:
-
Locate the Automation: From the Automations overview page, find the automation you wish to share.
-
Open Permissions Dropdown: Click the down caret for that automation and select "Permissions."
-
Grant Access: In the Permissions dropdown, click the user group that should have access to the automation. This selection is saved automatically.
-
Exit the Dropdown: Click outside the dropdown to exit.
By following these steps, you can manage and customize automation permissions to suit the needs of different user groups effectively.
