How Your Scheduling Software Syncs With Your CRM (ISN and Spectora)

How the integration works between scheduling softwares.

This article gives you a quick, plain-English overview of how your scheduling software (ISN or Spectora) connects to your CRM. It is for anyone who wants the short version. For the full breakdown of what syncs field by field, how deals move through your pipeline, and lifecycle behavior, see ISN & Spectora: WolfPack CRM Integrations.

What syncs, and when

Contacts and inspection details sync from ISN or Spectora into your CRM automatically. You do not need to do anything extra in your CRM.

Exactly when the data arrives depends on which version of the integration your account uses:

  • Current integration: updates flow as things change on the inspection, for example when it is scheduled, confirmed, or the report is published. A matching contact and record usually appear in your CRM within minutes of the inspection being scheduled.
  • Earlier setups: a small number of accounts are on an earlier version where the inspection details arrive once the inspection is complete, and a separate deal is not created for each inspection.

Either way, the data gets there on its own. If you are not sure which version you are on, or you would like inspection data to arrive sooner, ask your WolfPack specialist team.

It's a one-way sync

Data flows in one direction only, from your scheduling software into your CRM. Nothing you do inside the CRM, such as editing a contact or a deal, is sent back to ISN or Spectora.

Heads up: if you need to correct information, make the change in your scheduling software, not in the CRM.

Email matching and duplicate contacts

Your CRM uses a contact's email address as its unique identifier. Your scheduling software may not work the same way, which leads to two practical results:

  • Duplicate contacts in your scheduling software become one contact in your CRM. If the same person appears twice in ISN or Spectora with the same email, they still show up as a single contact once synced.
  • Contacts without an email address are not synced. Your CRM cannot create a contact it cannot match to an email, so make sure client, buyer's agent, and listing agent emails are entered correctly in your scheduling software.

If a contact's email address changes, update it in both your scheduling software and your CRM at the same time; otherwise the next synced inspection creates a second contact.

What to do where

In your scheduling software

  1. Keep contact emails accurate and up to date. The sync relies on this.
  2. Schedule, confirm, and complete inspections as you normally would. Those status changes are what trigger the sync.
  3. Make corrections here, not in the CRM.

In your CRM

  1. This is where review requests, follow-up automations, and reporting happen.
  2. You do not need to manually create or update contacts and deals from an inspection. The sync handles that.
  3. If you need inspection data synced at a different point, or have another custom timing need, contact your WolfPack specialist team.

Frequently asked questions

Do I need to enter anything manually in my CRM after scheduling an inspection? No. The sync creates and updates the contact and inspection record in your CRM automatically.

Can I edit a synced contact in my CRM? You can, but changes there will not sync back to ISN or Spectora. Keep your scheduling software as the source of truth.

Why don't I see a contact in my CRM yet? The most common reason is a missing email address in your scheduling software. Add one to that contact record and it will sync going forward. If your account is on an earlier version of the integration, the record may not appear until the inspection is complete.
